Official Operations Agreement — International Panel Shop
Welcome to International Panel Shop. These Comprehensive Terms of Service ("Terms") govern all auto-body repair and associated services provided by International Panel Shop ("we," "us," or "our") to you, the customer ("you" or "your"). By dropping off your vehicle, requesting a quotation, authorizing repairs, or engaging in business with us, you acknowledge that you have read, understood, and agree to be bound by these Terms.
1.1. Core Services: We specialize exclusively in professional auto-body repair: panel-beating and spray-painting. Our specialized services are strictly limited to the restoration of your vehicle's exterior bodywork and finish.
1.2. Exclusions from Responsibility: International Panel Shop is not responsible for damage, pre-existing wear, or technical issues related to:
1.2.1. Electrical & Electronic Disclaimer: Collision impacts and subsequent body stripping can reveal or trigger pre-existing electrical or electronic issues unrelated to direct body damage. Replacing a body part does not repair underlying electrical faults. All diagnosis, repair, or recalibration of these complex systems are your sole financial responsibility (e.g., via authorized dealers or auto-electricians). 1.3. Outsourced Services: For specialized work outside our core expertise (e.g., glass replacement, upholstery repairs, mechanical alignment), we may engage third-party providers ("Outsourced Businesses"). While we select reputable providers, International Panel Shop is not liable for their independent workmanship, parts, damages, or delays. You retain the right to select your own Outsourced Businesses at your sole cost and risk.
2.1. Acceptance: Accepting our verbal/written quotation, dropping off your vehicle, or allowing us to receive it constitutes full legal authorization to proceed with specified repairs, parts acquisition, and administrative onboarding.
2.2. Additional Work & Estimates: Quotations are initial estimates. Any additional work or supplementary parts discovered during stripping that exceed the original quote by 10% or more will require your prior approval. Delays may occur without timely confirmation.
2.3. Pre-Authorisation: In compliance with the Consumer Protection Act (CPA), no chargeable repair, diagnostic, or servicing work will commence without your prior authorization.
3.1. Estimated Timeframes: Target completion dates are estimates only and are not strictly guaranteed due to potential parts supply delays or hidden structural complexities. We will notify you promptly of revised timelines.
3.2. Collection Notification: You will be notified via telephone, WhatsApp, or email as soon as your vehicle's bodywork is complete and ready for collection.
3.3. Storage Fees: Vehicles not collected within 24 hours of completion notification will incur a daily storage fee of R450.00 (Four Hundred and Fifty Rand), including weekends and public holidays, until all outstanding invoices and accrued storage fees are settled in full. Storage fees are waived only by prior written agreement.
3.4. Uncollected Vehicles & Disposal: Vehicles left unpaid or uncollected for a period exceeding 4 (four) months from completion notification will be formally handed over to Salvage Genie for lawful disposal to recover outstanding repair costs, administrative fees, and accrued storage charges. By accepting our quote, you acknowledge our right of retention (lien) and authorize vehicle handling under South African law, indemnifying International Panel Shop against any future claims.
4.1. Payment Due: Full payment for repair services, fitted parts, and storage is due immediately upon completion prior to the vehicle's release.
4.2. Payment Methods: Cash or EFT. Card transactions incur an additional 3% merchant processing fee on the total invoice value.
4.3. No Release Without Settlement: Under no circumstances will any vehicle be released without full settlement of all outstanding invoices.
4.4. Quotation Acceptance, Cancellation & Service Interruption:
4.4.1. Acceptance via Drop-Off: Dropping off your vehicle or authorizing us to receive it constitutes full acceptance of the quotation and these Terms, initiating workshop scheduling and resource allocation.
4.4.2. Cancellation (Before Physical Work): If you cancel authorized repairs after vehicle drop-off or quote acceptance, but before physical repair work commences or non-returnable parts are ordered, you are liable for a fixed R1,500.00 Administrative Penalty Fee for wasted company time and onboarding, PLUS a cancellation fee of 15% of the total quoted repair value (minimum R750.00). This total must be paid prior to vehicle release or deducted from any deposit paid. Remaining deposit balances will be refunded within 15 business days.
4.4.3. Interruption (During Work in Progress): If you instruct us to stop work or cancel repairs after physical work has commenced (e.g., stripping, panel work, paint preparation, or ordering specific parts), you are liable for:
4.4.4. Recovery of Costs: Outstanding cancellation charges entitle International Panel Shop to exercise a lien over your vehicle until settled. Non-settlement within applicable timeframes may result in disposal per Section 3.4.
4.4.5. Cancellation Exceptions: Cancellation penalties will not apply if cancellation is due to the death or hospitalization of the booking client, or a material breach of contract by International Panel Shop.
4.4.6. Refund Process: Approved refunds will be processed via EFT within 15 business days following final account reconciliation.
5.1. Genuine Parts & Labor: New, genuine OEM parts and associated installation labor are warranted for 3 (three) months from installation date.
5.2. Paintwork Warranty: Our paintwork carries a 1 (one) year warranty from collection, provided proper care is maintained (regular washing and waxing 3–4 times per year). Covers fading, peeling, or discoloration directly resulting from application defects under normal conditions.
5.3. NO WARRANTY on Aftermarket or Used Parts: There is ABSOLUTELY NO WARRANTY on aftermarket, second-hand, or customer-supplied parts fitted at your request. Use of such parts is entirely at your own risk.
5.4. NO WARRANTY on Rust Repairs: Rust repairs carry no guarantee due to the inherent corrosive nature of metal moisture recurrence.
5.5. General Exclusions: Warranties are voided by vehicle misuse, abuse, subsequent accident damage, neglect, or tampering carried out by unauthorized third parties.
6.1. Road Test Authorization: You authorize our personnel to drive your vehicle for testing, inspection, workshop repositioning, or road assessments.
6.2. Personal Belongings: Remove all personal valuables. International Panel Shop accepts no liability for loss or theft of interior items left inside the vehicle.
6.3. Collection Inspection: Collecting your vehicle confirms that you or your representative have inspected and accepted the completed bodywork repairs.
6.4. Reporting Imperfections & Fraud Warning: Bodywork imperfections or loose parts directly related to our core services must be pointed out at collection or within a maximum of 48 hours. Knowingly presenting false damage claims or blaming subsequent accidents on prior repairs constitutes fraud and will be reported to SAPS and insurance providers.
7.1. Entire Agreement: These Terms, together with the accepted quotation and invoice, form the complete binding agreement.
7.2. Legal Costs: In the event of legal action to recover outstanding funds, you agree to be liable for all attorney-and-client scale legal costs, including collection commission.
7.3. Right of Retention (Lien): We retain a general lien over your vehicle and contents for all outstanding repair fees, administrative penalties, and storage costs owed.
7.4. Governing Law: Governed exclusively by the laws of the Republic of South Africa under local court jurisdiction.
Panel-beating: The skilled craft of reshaping, dent removal, filling, sanding, welding, and restoring damaged vehicle body panels to structural integrity.
Spray painting: Precision application of automotive primer, basecoat, and clearcoat finishes using compressed air spray equipment.
Bringing your vehicle to International Panel Shop, authorizing drop-off, or accepting a quote acts as your binding signature agreeing to these Comprehensive Terms of Service.
The Company offers a complimentary Vehicle Collection and Return Service for vehicles where the total repair quotation equals or exceeds R10,000.00 (excluding parts costs).
2.1. Scheduling: Collection is arranged at a mutually agreed date and time following quote acceptance.
2.2. Roadworthiness: The Customer warrants the vehicle is roadworthy and legally compliant. A visual inspection will record pre-existing external damage at pickup.
2.3. Keys & Documentation: The Customer must provide all operational keys and relevant documentation required for vehicle movement.
3.1. Care: We exercise due diligence to ensure vehicle security during transport.
3.2. Insurance: While International Panel Shop carries operational insurance, vehicle owners are advised to maintain active comprehensive insurance coverage during repairs.
4.1. Settlement Required: Vehicle return is strictly conditional upon full settlement of all repair invoices and applicable fees via cleared EFT or cash.
4.2. Return Inspection: Customers are requested to inspect the vehicle upon delivery and confirm satisfaction.
4.3. Unavailability: If the Customer is unavailable at the scheduled return time, additional rescheduling and daily storage charges (R450/day) may apply.
